What drives the price

Five factors that determine what your IT support should cost.

Number of users

Per-user pricing is the most common model for managed IT support. Fewer users means a lower monthly bill, but the cost per user tends to drop as headcount grows. Packages designed for smaller firms (up to 10 users) are often priced as a flat monthly fee rather than per-user.

Scope of support

Helpdesk hours, whether support covers evenings and weekends, on-site visits, and whether a 24-hour Security Operations Centre is included all affect the price. The largest cost difference is usually between providers that include security in the base price and those that sell it as an add-on.

Security requirements

Firms in regulated sectors — FCA-authorised businesses, law firms, healthcare providers — face higher security and compliance obligations. An IT environment built to support Cyber Essentials certification, DSPT requirements, or FCA operational resilience rules costs more to configure and maintain than one built to a general SME standard.

Cloud vs on-premise infrastructure

Businesses running Microsoft 365 or Google Workspace in the cloud are typically cheaper to support than those with on-premise servers. On-premise infrastructure requires hardware management, physical maintenance, and more complex backup arrangements.

Existing IT estate

A business with well-documented, standardised devices and software costs less to onboard and support than one with a mixed, ageing, or poorly configured estate. The state of your current setup affects both the initial setup cost and the ongoing monthly fee.

The real cost of cheap IT support.

The price difference between a basic managed IT package and a full-stack one is often £30–50 per user per month. That is real money. But the comparison is not between paying more and paying less — it is between a provider that includes security and one that does not.

A ransomware incident costs the average UK SME tens of thousands of pounds to recover from — in downtime, data recovery, IT forensics, and in some cases, regulatory fines for a notifiable data breach. A business email compromise that redirects a client payment can cost more. Neither of these is a theoretical risk: they are the most common reasons businesses in our target sectors contact us after something has gone wrong.

The question to ask of any IT support quote is not "what does this cost?" but "what does this include?" Specifically: is a 24-hour Security Operations Centre included, or charged separately? Is cyber incident response included, or will you be billed per incident? Is backup included, and is it tested? If the answers to those questions involve add-ons and qualifications, the headline price is not the real price.
